Early Arrivals, Staying for Breaks, & Summer/Transitional Housing

Below is information on the policy regarding common requests for early arrival, breaks, and transitional housing (to include transitional housing pre and post summer school). If you have additional questions, please contact the office during business hours.

  • Early Arrival Policy

    Spring 2025 Early Arrival Information:

    Individual early arrival requests will not be accepted, except for international travel. All students must plan accordingly as early arrival is not available as the residential areas open at 10am on Saturday, January 11, 2025

    All requesting students must submit an Early Arrival Request via their StarRez portal (link opens in a new tab) by selecting "Winter Break Housing Request (Late Stay/Full Break/Early Arrival)" in the red bar. All requests must be submitted by November 20, 2024. Early Arrival requests will only be available starting January 6, 2025. Completing a request does not guarantee approval and late requests will not be accepted as we must plan accordingly. Approved students will be notified the week of November 25, 2024.

    All group requests must be submitted by the advisor, coach, or sponsoring staff member to Jacob Lowman by no later than November 20, 2024 and include the following in an excel spreadsheet:

    • Column 1: Student ID
    • Column 2: Student Last Name
    • Column 3: Student First Name
    • Column 4: Date of Group Arrival/Check-in
    • Column 5: Group/Position Name and/or Reason

    All group requests will be reviewed and approval will be sent to the advisor, coach or staff member the week of November 25, 2024. Food plan arrangements for early arrival student groups must be made by the advisor, coach or staff member in conjunction with the request for early housing. Individual requests to arrive earlier than the group will not be approved.

    Any unauthorized occupancy will result in immediate removal from housing, $100 fine charged to the student’s account, and may be referred to student conduct.

  • Breaks

    Students do not need to apply to stay for Fall Break, Thanksgiving Break, or Spring Break.

    Winter Break 2024

    All students must plan accordingly as extended stay is not available as the residential areas close at 12 pm on Wednesday, December 18, 2024. 

    All students that do not have a spring housing assignment must move out on Wednesday, December 18, 2024 and are not eligible for a Late Stay or to stay over the break.

    Late Stay Requests: All requesting students must submit a Late Stay Request via their StarRez portal (link opens in a new tab) by selecting "Winter Break Housing Request (Late Stay/Full Break/Early Arrival)" in the red bar. All requests must be submitted by November 20, 2024. Residents can only request a late stay until Friday, December 20, 2024 and must vacate the building by 12 pm (noon). Completing a request does not guarantee approval, and late requests will not be accepted as we must plan accordingly. Approved students will be notified the week of November 25, 2024.  

    Full Winter Break Requests: If you need to stay on campus for the entire Winter Break you will need to complete a request to stay. Only students that have both a fall and spring housing assignment are eligible to submit a request to stay on campus for the Winter Break. You can complete a request by logging into your StarRez portal (link opens in a new tab) and selecting "Winter Break Housing Request (Late Stay/Full Break/Early Arrival)" in the red bar. All requests must be submitted by November 21, 2024. Late requests will not be accepted as we must plan accordingly.

    Completing a request does not guarantee approval as approvals to stay the entire break will be limited. International students and students living outside the US that have a fall and spring housing assignment and complete a request will automatically be permitted to stay. Students will be notified of approval by the Office of Residence Life & Housing the week of December 2, 2024 and will receive further information at that time.

    All Division 1 Student Athlete late stay requests or permission to stay for the Winter Break must be submitted through Athletics in order to be approved. Individual requests submitted will not be accepted.

    All students remaining on campus are held to the terms and conditions of the housing contract, and all policies as outlined in the student handbook.

    All residential areas will re-open on Saturday, January 11, 2024 at 10am.  See the early arrival policy for further details.

  • End of Spring/Summer Transitional Housing (End of Year/End of Summer)

    End of School Year (May 2025):

    • Undergraduates:  Must vacate 24 hours after last exam. Residence halls close Sunday, May 4 at 12pm (noon). Students are not permitted to leave items in their roomAll left behind/unclaimed items will be donated or discarded upon inspections for closing.  Students who do not vacate according to the listed date and are not approved to stay will be required to vacate campus immediately and will be assessed a fine of $100/day for each day the room is occupied. If necessary, items will be packed and stored utilizing a University vendor at the student’s expense.
    • Graduating Seniors: Must vacate by Monday, May 12 at 2:00 pm.
    • Law Students: Must vacate by Monday, May 12 at 2:00 pm.

    Spring Extension Housing:

    In order to be eligible for an extension of your spring housing, you must be currently housed on campus for the spring term prior to your request, and be classified as one of the following:

    • Students with Summer Housing starting May 11
    • International Student (only eligible until Monday, May 12 at 2pm)
    • Sibling of a Graduating Senior (only eligible until Monday, May 12 at 2pm)
    • Member of approved group or organization (e.g. Athletic team, Graduation Committee).  All group approvals must and will also be confirmed with the Advisor and/or Department.

    The Spring Extension Application will open April 7. Housing is not guaranteed for requests after April 20. Spring extensions – if approved – will only be permitted through the end of the student’s on-campus commitment (e.g., Athletic team, graduation committee) or for a period of no longer than a week for a student with an approved late departure date due to international travel conflicts.  

    Transitional Summer Housing

    The Summer Housing period begins on May 18.  Students who have been approved to live on campus during the summer and who must arrive prior to the start of the summer housing period will be assigned to transitional housing and MUST also apply to start their summer term on May 11 via StarRez Summer Housing Application. 

    Important Dates for Extended Spring/Summer Transitional Housing: (dates subject to change)

    • Week of April 21-25: Transitional housing assignments will be sent to students who are approved for Spring Extension or arriving early for Summer Housing.
    • May 12: Students who are approved for Spring Extension must move to a transitional summer assignment. All students must complete their move to transitional housing move by 5:00 pm.
    • May 18: Students in transitional housing and students arriving for summer housing move to permanent summer assignments.  Students may go directly to their rooms upon arrival.

    End of Summer Term (2025): (dates subject to change)

    • Summer housing ends July 26.
    • Students who need to remain on campus after the summer housing period must complete an Extended Stay application in StarRez to request housing beginning July 26. 
      • Information will be sent to students during the second summer term in time to plan for end-of-summer transitional housing. (week of June 23)
      • Students who are approved for Extended Summer Housing will be charged $TBD regardless of length of stay.  Meal options may be limited after the summer housing period ends.
    • All students remaining in housing will move to a transitional location on July 26 by 5pm.
    • Students in transitional housing will move to permanent fall assignments on August 8.
